2LINKIT (“we”, “us”) provides IT consultancy and software within the Microsoft ecosystem. This policy explains what personal data we collect when you contact us, visit our website, or work with us as a client, and what we do with it. We are the data controller for the processing described here, and we follow the EU General Data Protection Regulation (GDPR).

 

What we collect

We collect only what we need to answer you and deliver our services:

  • Contact details you give us: name, company, email address, mobile number, job title.
  • Correspondence: emails, support requests, meeting notes, and SMS messages exchanged with us.
  • Contract and billing information for clients: company address, VAT number, purchase orders, invoices.
  • Website logs collected automatically by our hosting provider: browser and version, operating system, referring URL, host name, and time of request. This data is not combined with other sources to identify individuals.

We do not knowingly collect data from children, and we do not collect special categories of personal data.

 

Why we use it

We process your data to respond to enquiries, deliver and support the services you have engaged us for, manage contracts and invoicing, and meet our legal and accounting obligations. The legal basis is either performance of a contract, our legitimate interest in running and supporting our business, a legal obligation, or your consent, depending on the situation.

We do not use your data for automated decision-making or profiling.

 

SMS and mobile messaging

If you give us your mobile number, we may send you SMS messages relating to your enquiry, your support request, or your account with us. We do not send marketing or promotional text messages.

We do not sell, rent, or share mobile numbers or SMS consent with any third party for marketing or promotional purposes. Mobile opt-in data is never shared with affiliates or partners for their own use. It is used solely to deliver the messages you asked for, and is shared only with the messaging provider that transmits them on our behalf.

Reply STOP to any message to opt out, and HELP for assistance. Message frequency varies. Message and data rates may apply.

Who we share it with

We share personal data with suppliers who process it on our behalf under a data processing agreement, and only to the extent needed to run our business. These currently include:

  • Microsoft 365 — email, documents, meetings, and collaboration.
  • Telnyx — transmission of SMS messages.
  • Our accounting and invoicing provider — contracts and billing.
  • Our website hosting provider — operation of 2linkit.net.

We may also disclose data where required by law, a regulator, or a court order. Beyond that, we share your data with third parties only with your explicit consent.

We do not sell personal data.

Where your data is stored

Data is stored within the EU or EEA wherever possible. Where a supplier transfers data outside the EEA, the transfer is covered by an adequacy decision or the EU Standard Contractual Clauses.

How long we keep it

Enquiries that do not lead to an engagement are deleted within 12 months. Client records are kept for the duration of the engagement and for 5 years afterwards, in line with Danish bookkeeping requirements. SMS correspondence is retained for up to 12 months. Website logs are retained for up to 6 months.

How we protect it

Access to personal data is limited to the people who need it to do their work, and they are bound by confidentiality. We use multi-factor authentication, encrypted transport, encryption at rest, and least-privilege access controls across our systems, and we keep our platforms patched on a scheduled basis.

Cookies

Our website uses cookies that are necessary for it to function. Any analytics or non-essential cookies are set only after you consent, and you can change or withdraw that consent at any time through your browser settings or our cookie banner.

Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you.
  • Have inaccurate data corrected.
  • Have your data deleted, unless we are legally required to keep it.
  • Object to processing, or ask us to restrict it.
  • Receive your data in a portable format.
  • Withdraw consent at any time, where processing is based on consent.

To exercise any of these, email privacy@2linkit.net. We respond within one month. If you are not satisfied with our response, you may complain to the Danish Data Protection Agency, Datatilsynet (datatilsynet.dk).

Changes to this policy

We update this policy when our practices change. The current version is always published here, with the effective date at the top.
